Pnei Tzion ("we", "the office") assists international students, families and institutions with Israeli immigration and government services — visas, health insurance, National Insurance (Bituach Leumi), banking and registrations. This system (the Pnei Tzion Portal) is the case-management tool our office and partner institutions use to do that work. This page explains what information the system holds and how it is handled.
What we collect
- Contact and identity details of the people we assist: names (including in Hebrew and Latin script), dates of birth, nationality, email addresses and phone numbers.
- Documents needed for the services requested — passports, visas, government IDs, insurance and registration papers — uploaded by our staff, by partner institutions, or sent to our office email.
- Case information: which services were requested, their progress, payments and receipts, and correspondence connected to a case.
- For staff and partner-institution accounts: name, email address, and a log of sign-ins and actions taken in the system (an audit trail).
Why we collect it
Solely to provide the services requested from our office: preparing and submitting applications to Israeli government bodies, tracking their progress, communicating with the people involved, and keeping the records a registered non-profit must keep (for example, payment receipts). We do not sell personal information, use it for advertising, or share it beyond what the requested service requires.
Where it lives and how it is protected
- Records are stored in a private database; uploaded documents are stored in private file storage. Neither is publicly accessible — documents are served only through short-lived, signed links to authenticated, authorized users.
- Access is invite-only and role-based: office staff see the cases they work on; a partner institution sees only its own submissions; financial records are restricted further.
- Every access and change is recorded in an audit trail.
Who we share it with
- Israeli government bodies — when we submit an application on your behalf, which is the service you asked for.
- Technical service providers that host the database, file storage and email delivery for us, bound to process the data only on our instructions.
- Nobody else, unless the law requires it.
Sign in with Google
Staff and partner accounts may sign in with Google. When you do, we receive only your basic Google profile (name, email address, profile picture) to confirm you are the invited account holder. We request no access to your Gmail, Drive, contacts or any other Google data, and we store nothing from Google beyond that basic profile. Accounts cannot be created by signing in with Google — access is by office invitation only.
How long we keep it
For as long as needed to provide the services and to meet the record-keeping obligations that apply to us (for example, financial records). When information is no longer needed for either, it can be deleted on request.
Your rights
You may ask us what information we hold about you, ask for corrections, or ask for deletion of information we are not legally required to keep. Contact the office and we will help.
